1. Controller and contact

2. Data we process

We collect invitation and membership details such as name, contact details, membership identifier, eligibility and account status, sponsor or referral where used, and the records needed to administer tiers and benefits. We process sign-in credentials, verification and security events, devices and session data, approximate location derived from network information when needed for security, and support messages. We process profile details, posts, messages, event activity, reports, moderation decisions, and the media you choose to upload where those features are enabled. If paid features are enabled, we process order, payment status and transaction references; a payment provider may handle card details under its own notice. We keep policy version and acceptance records. We may receive information from the person or club staff who invited you, other members when they report conduct, and service providers supporting operations.

Please avoid posting sensitive personal details about yourself or others unless the feature specifically requires them and you have permission. Club staff should not collect identity documents, precise location, or sensitive data without a defined purpose and approved process.

3. Why and on what basis

We use data to assess and administer invitations, provide membership and requested features, organise events, deliver messages and support, process authorised transactions, secure accounts, investigate reports, enforce the Club Rules, keep evidence of policy acceptance, and meet legal obligations. Processing may be necessary to perform a membership agreement, comply with law, protect a legitimate interest in club safety and service security where that interest is not overridden by your rights, or act on your specific consent where required. Marketing and use of your image in promotional material require separate choices where applicable. You may withdraw consent for optional uses without undoing processing already lawfully carried out.

4. Who receives data

Other members may see information you deliberately share within the audience shown by a feature. Club staff and authorised service providers may access data only as needed for their duties. Hosting, email, security, analytics, customer support, and payment providers may process limited data under appropriate arrangements when those services are enabled. We may disclose information to authorities when required by law or to protect rights and safety. We do not sell member personal data. We will identify material new recipients or processing purposes in an updated notice.

5. International transfers, retention, and security

Some technology providers may process data outside Ghana. Before using such providers, we will assess the destination and safeguards required by Ghana's Data Protection Act, 2012 (Act 843), and explain material transfers.
